You did the work, you sent the invoice, and now you’re waiting. On a big job, that wait can stretch, and following up with every client yourself gets old fast. Eano Pro can do the nudging for you. It can text and email your clients the day before an invoice is due, the day it goes past due, and then on a schedule you pick until it’s paid.
There are three reminders, and each one is off until you turn it on. You’ll find all three under Settings → Notification.
Why Turn These On
Most late payments aren’t on purpose. The email got buried, or the due date slipped someone’s mind. A friendly reminder from your company, with a button that goes straight to the invoice, clears up most of those without you lifting a finger. You can save your own phone calls for the few that really need one.
The Three Reminders
Invoice due soon goes out the day before an invoice is due, letting your client know it’s due tomorrow.
Invoice past due goes out the day after the due date, letting your client know the invoice is now past due.
Invoice past due reminders keep following up after that, until the invoice is paid. Use the Remind clients dropdown to pick how often:
Daily: every day, starting two days after the due date.
Weekly (the default): one week after the due date, then every week after that.
Monthly: one month after the due date, then on the same day each month. If the due date was the 29th, 30th, or 31st, shorter months use their last day instead.
Each reminder works on its own, so turn on any combination. For example, you can skip Invoice past due and still have Invoice past due reminders start a week after the due date.
Turning Them On
Click the gear icon in the top bar to open Settings.
Choose Notification in the menu on the left.
Under Projects, in the Client notifications list, find Invoice due soon, Invoice past due, and Invoice past due reminders.
Flip on the toggle for each one you want, and tick Email, SMS, or both.
For Invoice past due reminders, pick Daily, Weekly, or Monthly from the Remind clients dropdown.
Changes save right away, and the settings apply across your whole company. Settings is open to Owners and Admins, so they’re the ones who can turn these reminders on.
What Your Client Gets
Each reminder tells your client:
The invoice number. If you gave the invoice your own number, that’s the one they see.
How much they still owe. If they’ve already paid part of it, the reminder shows only the remaining balance.
The project name and address.
The due date.
The email comes from your company, with a Pay Invoice button. If your client replies, the reply goes to your company email. The text message carries the same details and a link. Either way, your client lands right on the invoice, ready to pay.
The wording is set by Eano, so you can’t edit it.
Every client contact on the project gets the reminder, including anyone you’ve invited who hasn’t signed in yet. That means a bookkeeper or spouse you’ve added as a client hears about it too.
Reminders go out once a day, in the afternoon (around 4 PM Eastern). If you’ve set Do Not Disturb quiet hours that cover that time, the reminder waits until your quiet hours end.
Which Invoices Get Reminders
Reminders cover:
Invoices you’ve finalized. Drafts don’t have a due date yet, so they never get a reminder.
Milestone and change-order payment requests. These don’t have a due date of their own, so Eano counts them as due one week after you request the payment.
Eano skips an invoice, or stops reminding about it, when:
It’s paid in full.
A payment is in progress. If your client has paid by bank transfer and it’s still processing, or has told you they’ve sent a check or Zelle payment, Eano takes them at their word and holds off. If a payment fails, the invoice is unpaid again and the reminders pick back up.
You void it.
The project is marked complete or lost, or you archive it.
Reminders only cover invoices due on or after the day you turn them on. Turning a reminder on won’t suddenly send notices for invoices that were already overdue. For those, send a reminder yourself (see below).
Sending a Reminder Yourself
You don’t have to wait for the schedule. To nudge a client about one invoice right now, open the invoice, click More Actions, and choose Send Reminder. This works whether or not the automatic reminders are on.
A Few Things Worth Knowing
Each reminder is logged. When a reminder goes out, it shows up in the activity feed on the project’s Overview tab, with the invoice number, which reminder was sent, and the date. That gives you a record of when your client was told.
It’s all or nothing. Once a reminder is on, it covers every client and every invoice that qualifies. You can’t switch it off for one client or one invoice.
Partial payments don’t stop reminders. An invoice isn’t paid until it’s paid in full. If your client pays half, the reminders keep going, and they show the balance that’s left.
No push notifications. These reminders go by email and text only, so there’s no Mobile Push option on their rows.
Payment terms set the timing. An invoice’s due date comes from the payment terms you choose when you create it, like Net 30. Reminders follow that due date.
Frequently Asked Questions
Are these reminders on automatically?
No. All three are off until an Owner or Admin turns them on under Settings → Notification.
Why didn’t my client get a reminder about an invoice that’s been overdue for weeks?
Reminders only cover invoices due on or after the day you turned them on. For an invoice that was already overdue, open it, click More Actions, and choose Send Reminder.
My client paid part of the invoice. Will they keep getting reminders?
Yes, until the rest is paid. Each reminder shows only what they still owe.
My client says they mailed a check. Will they keep getting past due notices?
Not once they’ve told Eano they’re paying by check. The invoice shows a payment in progress, and the reminders hold off. When the check arrives, mark the payment as paid.
Can I turn off reminders for just one client?
Not at the moment. The reminders apply to every project and every client once they’re on.
Do milestone payments get reminders too?
Yes. Milestone and change-order payment requests are counted as due one week after you request the payment, and they follow the same reminder schedule from there.
What time do reminders go out?
Once a day, in the afternoon (around 4 PM Eastern). If your Do Not Disturb quiet hours cover that time, the reminder waits until they end.
Can I change what the reminder says?
No. The wording is set by Eano. It always includes your company name, the invoice number, the amount owed, the project, the due date, and a link to pay.
How do I know a reminder actually went out?
Open the project’s Overview tab. Each reminder that’s sent is logged in the activity feed.
