Printing Your Schedule: Exporting the Calendar to PDF

Keeping your schedule in Eano means it can move when the job moves — a permit slips, a sub reschedules, and everything downstream adjusts. But there are still moments when you want the schedule on paper: taped up in the office where the crew walks past it every morning, marked up with a pen in the truck, or handed to someone who isn’t going to log in.

The Export button on your Schedule page gives you exactly that — a clean, one-page PDF of the month you’re looking at, ready to print.

Where to Find It

Click Schedule in the left sidebar to open your full schedule — the one that spans every project, not a single project’s own Schedule tab.

Make sure you’re on the Calendar view (the month grid). Over on the right side of the controls row, past the filters and the view dropdown, you’ll find the blue Export button.

Click it. The button reads Exporting… for a moment while your PDF is put together, then it downloads straight to your computer.

What You Get

A single page, in landscape, sized for standard 8.5 × 11 letter paper — so it prints on whatever’s already in your office printer without any fiddling with page setup.

The layout mirrors what’s on your screen: the month and year across the top, a Sunday-first grid, today’s date marked, and each event as a colored bar. Jobs that run several days show as one continuous bar across those days rather than repeating on each one, and a bar that runs past the end of a week picks back up on the next line.

Each bar carries the same label you see in Eano — the task or milestone name, the project it belongs to, and the client. Milestones get their marker icon. Completed tasks are struck through, so a printed copy still tells you what’s done and what’s outstanding.

Your Filters Come With It

This is the part worth knowing: the PDF is built from exactly what you’re looking at, not from everything in your account.

So if you’ve narrowed the calendar down before exporting, the printout is narrowed the same way. That includes:

  • Only show my tasks

  • Tags

  • Status

  • Assignee

  • Events — Task, Milestone, Meeting, and Connected Calendar

The color-coding toggle carries over too. If you’ve got the calendar set to color by project, the bars in the PDF are colored by project. Switch it to color by status and the PDF follows, using your stage colors.

That makes it easy to print something purpose-built. Filter down to one superintendent’s tasks and export a sheet just for them. Filter to milestones only and you’ve got a client-facing overview. Whatever’s on screen is what lands on the page.

A Few Things Worth Knowing

It always exports a full month. The PDF covers the month you’re currently on, even if you’ve switched the calendar to Week or Day. Use the arrows or the date picker to land on the month you want, then export.

It’s the Calendar view only. The Gantt view doesn’t have an Export button — this is built around the month grid.

It’s on the full Schedule page, not individual projects. A single project’s Schedule tab doesn’t have the export. If you want one project on paper, open the full Schedule and use the filters to narrow it down to that job.

Really busy days get summarized. Everything has to fit on one page, so if a day has more events than there’s room for, the extras roll up into a “+N” count at the bottom of that day’s box. The whole month still fits on the page; you just won’t see every single bar on the very busiest days. If that’s happening a lot, filtering before you export is the fix.

The file lands in your downloads. It saves as a PDF named for the date you exported, so you can print it right away or keep a copy for your records.

Frequently Asked Questions

Where’s the Export button? On the Schedule page in the left sidebar, in the controls row on the right, when you’re on the Calendar view. If you don’t see it, check that you’re on the full Schedule page rather than a project’s own Schedule tab, and that you’re in Calendar rather than Gantt.

Can I export a week or a single day instead of the whole month? Not right now — the export always produces the full month you’re viewing. If you need a narrower slice, filtering the calendar down before exporting gets you a shorter, more focused page.

Can I export just one project’s schedule? Yes, though you do it from the full Schedule page rather than the project. Use the filters to narrow the calendar down to what you want, then export — the PDF reflects your filters.

Will the printout match what I see on screen? It’s built from the same data and honors the same filters and color settings, so the content matches. The layout is tuned for paper rather than being pixel-for-pixel identical to the browser, so expect it to look a little tidier and more compact.

Does it include events from my connected calendar? If you have Connected Calendar selected in the Events filter, yes. Whatever event types you’ve got showing on screen are what gets exported.

Why do some days show a “+3” instead of all the events? The PDF is deliberately one page, so days with more events than will fit show a count of the extras. Narrowing your filters before exporting gives each day more room.

Can I get it on a bigger sheet for the wall? The PDF is generated at letter size. To go bigger, use your printer’s scale-to-fit or poster settings when you print, or take the file to a print shop — since it’s a PDF, it scales up cleanly.
