Every proposal, quote, and invoice you send out has a “Prepared By” block — the name, phone, and email that tells the homeowner on the other end who they’re dealing with. It sounds simple, but the right answer depends on how your business is shaped. A solo GC wants their own name on every document. A team with several estimators wants each one’s name to show up on the documents they prepared. Eano lets you pick the model that fits.
This article walks through the options, who can change them, and how they show up on the documents your clients actually see.
Where to Find It
Go to Settings and open the Business Profile tab. Scroll down to Preparer Configuration — it’s a required field, so it always has a value.
A quick note on permissions: only Owners, Admins, and Superusers can see or change this setting. If you’re a project manager, estimator, or field worker, the Preparer Configuration section won’t appear in your Business Profile at all — that’s by design, since it controls how every document your team sends out gets branded.
The Two Standard Options
Most teams will be choosing between these two. Both share the same idea — your business info stays consistent, and the preparer’s name updates per document — and they differ only in whether the preparer’s contact info also flows through.
Consistent Business
This is the right pick for most general contractors, and it’s where most teams start.
Here, the name on “Prepared By” follows whoever’s set as the preparer on that specific job — the estimator, the project manager, whoever built the document. But the business details underneath the name — your company name, phone, email, and mailing address — stay the same on every document, drawn from your business profile.
The metaphor: your name on the door changes shift to shift, but the building’s address is always the building’s address.
Your client sees the human they’re working with, and they see consistent business info no matter who that human is.
User Preparer
This is a small but meaningful twist on Consistent Business.
The business name and mailing address still stay the same — that’s your company, and those don’t change. But the email and phone number on “Prepared By” switch to the preparer’s own contact info, pulled from their user profile.
Pick this when you want clients reaching the right person directly. The estimator’s cell goes on the quote they prepared; the PM’s email goes on the invoice they sent. Less “call the office,” more “call me.”
One thing to check before you switch: this mode uses the preparer’s profile email and phone as-is. If someone on your team doesn’t have a phone number filled in on their profile, that line can come through blank on their documents. It’s worth a quick pass through People > My Team to confirm everyone who might be a preparer has both an email and a phone on file.
Choosing the Preparer on a Job
For both options, you pick the preparer on the quote or contract itself.
Open the quote preview and look at the Prepared By block. The preparer’s name is clickable — click it and you’ll get a list of your team members, each showing their role and email, with a green Current Preparer badge on whoever’s currently selected. Pick someone and the block updates.
Whoever you select drives the name (and, in User Preparer mode, the contact info) that ends up on the document.
Once a quote has been sent and signing is underway, the name stops being clickable and shows as plain text. At that point the preparer is locked in for that document — Eano takes a snapshot of it when the quote goes out so the paperwork your client signed doesn’t shift underneath them.
Options for Teams with Bigger Needs
The two options above cover what almost every general contractor needs. The two below are for teams whose setup is more complex — either you’ve got distinct operating units that each need their own contact block, or you want absolute uniformity on every document no matter who’s preparing it. Both are tied to specific plans, so they won’t appear on every account. One Consistent Block Across Everything
For teams that want exactly the same “Prepared By” on every document, every time, with no variation.
When this is enabled, an admin fills in a single set of Prepared By Defaults in the Business Profile — name, email, and phone — and those become what appears on your proposals, contracts, and invoices. The per-job preparer picker goes away, so nobody can change the block from an individual quote. Your mailing address continues to come from your business profile.
This is the right fit when you want a single corporate front on everything — a franchise, a larger operation where every document needs to look identical, or a team that just doesn’t want individual contact info on client-facing paperwork.
Multi-Team Setups
If your business runs on our Multi-Team plan — different regions, different brands, or separately-staffed crews with their own contact info and address — Preparer Configuration works differently.
On a Multi-Team account, the setting is fixed to Team and the dropdown is locked (you’ll see it greyed out). Each team’s business details drive the “Prepared By” block on that team’s documents, so a quote on a Sacramento job carries the Sacramento team’s phone and address, and the Bay Area team’s documents carry theirs. You set those details up per team in your Multi-Team configuration, including an optional Preparer Name for the team.
That’s the intended behavior, not a bug — on Multi-Team, the team is the source of truth, so there’s nothing to choose at the company level.
How Changes Roll Through Your Documents
When you change the Preparer Configuration setting, the change takes effect for documents you generate from then on. It doesn’t rewrite paperwork that’s already out the door — once a quote is sent, its preparer name is captured and stays put.
So if you’re changing this setting and you want it reflected on a specific job, make the change before you send that quote.
A Few Things Worth Knowing
The setting is company-wide, not per-project. You’re picking one model for your whole team. What varies job to job is who the preparer is, not which model applies.
Switching between the two options is reversible. You’re not locked in. If you try User Preparer for a quarter and decide you want the office number back on everything, flip it back to Consistent Business and new documents will use that from then on. (On Multi-Team accounts, the setting is fixed to Team and isn’t switchable.)
Fill in profiles before switching to User Preparer. Since that mode pulls email and phone straight from the preparer’s profile, a missing phone number shows up as a gap on client-facing paperwork.
FAQ
I changed the setting but an already-sent quote still shows the old “Prepared By.” Is that a bug? No. Eano captures the preparer when a quote is sent so the document your client is reviewing or signing doesn’t change underneath them. New documents you create after the change will use the new setting.
Why can’t I click the preparer name on my quote? Two common reasons. Either the quote has already been sent and signing is underway — at that point it’s locked — or your account has a fixed preparer name configured. If it’s neither and you’d expect to be able to change it, get in touch and we’ll take a look.
Who can change the Preparer Configuration? Owners, Admins, and Superusers. Other team members won’t see the setting in their Business Profile.
Can I have different settings for different teams? That’s what the Multi-Team plan does — each team carries its own business details onto its own documents.
