Organizing Your Projects with Tags

As your project list grows, it helps to have a way to group and filter at a glance. Tags let you label your projects with short, color-coded markers — things like “Urgent,” “Kitchen,” “Waiting on Permit,” or whatever makes sense for the way your team works. This article walks you through creating tags, applying them, and using them to stay organized.


What Are Tags?

Tags are custom labels you create for your team. Each tag has a name and a background color, and you can apply as many as ten tags to a single project. They show up as small colored badges wherever your projects appear, so you can tell at a glance what’s going on with each job.

Tags are shared across your whole team, so everyone sees the same set of labels. There’s no limit to how many tags your team can create.


Where You’ll See Tags

Tags appear on both the Projects page and the Opportunities page, which you can reach from the main sidebar.

On the Projects Page

Your projects can be displayed in two layouts — card view and list view — and tags work in both.

  • In card view (the default), tags appear on each project card in the row alongside the project’s status and source. You’ll see them as colored badges, or a “+ Add a tag” link if the project doesn’t have any yet.

  • In list view, tags get their own column in the table, and you can click directly on that column for any project to add or remove tags without leaving the list.

On the Opportunities Page

Tags work the same way.

  • In the list view, there’s a dedicated tags column.

  • In the pipeline view, tags appear as colored badges at the top of each opportunity card.

You can add, remove, and search for tags right from either view, just like you would on the Projects page.

On an Individual Project

When you open an individual project, tags appear in the header area at the top of the page, next to the status badge, source, and project ID. You can add or remove tags from there using the small “+” button that sits alongside any existing tags.

Because tags are tied to projects under the hood, tagging an opportunity and tagging its underlying project are the same thing. A tag you apply from the Opportunities page will show up on the Projects page too, and vice versa.


Creating and Managing Tags

To set up your tags, click “Manage Tags” from any tag dropdown — you’ll find this link at the top of the dropdown when you’re adding tags in either card view or list view. A panel will slide open on the right side of the screen showing all of your team’s existing tags.

From here you can:

  • Add a new tag by clicking “+ Add a Tag” at the bottom of the list. It’ll start with a default color, and you can type in a name right away.

  • Rename a tag by clicking on its name and editing the text. Changes save automatically when you click away.

  • Change a tag’s color by clicking the color swatch next to it. You’ll see a palette of fifteen preset colors to choose from, and the tag preview updates instantly.

  • Delete a tag by clicking the trash icon next to it. You’ll be asked to confirm before anything is removed.

One thing to keep in mind: you can’t delete a tag that’s currently applied to a project. You’ll need to remove it from all projects first, then come back and delete it.


Applying Tags to a Project

There are a few ways to tag a project, depending on where you are:

  • In card view, click on the tag area of any project card. A popover will appear where you can search for existing tags and click them to toggle them on or off. Selected tags show up as colored chips with an X you can click to remove them.

  • In list view (on either the Projects or Opportunities page), click on the tags column for any project. An inline dropdown will open with a search field and a list of your team’s tags. Select as many as you need, and they’ll appear as chips right in the column.

  • In the pipeline view on the Opportunities page, click the “+” button on any card to open a popover where you can search and select tags.

  • On a project’s detail page, look for the dashed “+” button in the header next to any existing tags. Clicking it opens a popover with the same search-and-select experience.

In all of these, you can type in the search field to quickly find a specific tag by name.

You can apply up to ten tags per project. If you’ve hit that limit, you’ll need to remove one before adding another.


Filtering by Tag

Once your projects are tagged, you can use the Tags filter in the filter bar at the top of your projects list or opportunities list to narrow things down. It sits alongside your other filters like Status. Click it, and a dropdown will appear where you can select one or more tags — only items with those tags will be shown.

This is especially handy when you’ve got a long list and need to zero in on a specific group — say, all your active kitchen remodels or everything flagged as urgent.

You can search within the filter dropdown by typing a tag name, which makes it quick to find what you’re looking for even if your team has a lot of tags.


Who Can Do What

  • Admins and Owners can create, edit, and delete tags, and apply or remove them from projects.

  • Core Members and Superusers can apply and remove tags from projects, but can’t create, edit, or delete tags themselves.

  • Subcontractors and Field Workers can see tags on projects but can’t add or remove them.


FAQs Frequently Asked Questions


Is there a limit to how many tags I can put on one project?

Yes — up to ten per project. There’s no limit to how many tags your team can create overall, just a cap on how many can be applied to a single project at once.

Can I use any color I want for a tag?

Tags use a set of fifteen preset colors. You can’t enter a custom color code, but the palette covers a wide range and is designed so the text stays readable against every option.

What happens if I rename a tag that’s already applied to projects?

The name updates everywhere it appears. You don’t need to reapply it — projects that already have that tag will show the new name automatically.

Can I delete a tag?

Yes, but only if it’s not currently applied to any projects. If the tag is still in use, you’ll see a message letting you know. Remove it from all projects first, then delete it.

Do all team members see the same tags?

Yes. Tags are shared across the team. When someone creates or renames a tag, every team member sees the change.

If I tag an opportunity, does the tag show up on the project too?

Yes. Tags are tied to the underlying project, so a tag applied from the Opportunities page automatically appears on the Projects page and vice versa.

Can I switch between card view and list view?

Yes. At the top of your projects list, you’ll see toggle buttons for “Cards” and “List.” Tags are fully supported in both views — they just appear in slightly different spots. Your view preference is remembered the next time you come back.

I don’t see the tagging option anywhere. What’s going on?

Tags are available on plans that include advanced features. If you don’t see any tagging controls in your projects or opportunities list, your current plan may not include them. Check with your team administrator or look into upgrading your plan.
