Sending Quotes, Using Preflight Checks & Understanding Client Visibility

This article explains:

  • Where to find the Send Quote and Preview buttons

  • How the preflight check system works

  • How to export a PDF or generate a sharing link

  • How to tell whether a proposal is visible to your client

  • What happens when a proposal is archived

This guide is written to clarify system behavior so you always know:

  • Why a quote can or cannot be sent

  • Whether a client can see a proposal

  • Whether a proposal can still be signed


1. Send & Preview Buttons (Available on All Tabs)

What Changed

The Send Quote and Preview buttons are now located in the top-right corner of every project and opportunity screen.

You no longer need to navigate to the Scope tab to send or preview a quote.

If you were previously used to sending from the Scope tab, you will now see a message in that location directing you to the new top-right buttons.


Where to Find the Buttons

  1. Open an Opportunity.

  2. Look in the top-right corner.

  3. You will see:

    • Preview

    • Finalize Quote

These buttons are available regardless of which tab you are currently viewing (Scope, Subcontracts, Finance, etc.).


2. How the Preflight Check Works

When you click Finalize Quote, the system performs a pre-send review of your proposal.

If issues are detected, a popover appears explaining what must be resolved.


2.1 Send Button Status Indicator

If the proposal is incomplete:

  • The Finalize Quote button displays a badge with the number of blocker/s.

  • Hover your mouse over the button and it opens a detailed list.


2.2 Types of Preflight Items

The system organizes issues into three categories:

Blockers (Cannot Send)

These must be resolved before sending, like:

  • Scope items are completely empty

If blockers exist, the quote cannot be sent.


Critical Warnings

These may indicate incomplete or invalid information:

  • Scope items missing prices

  • Incomplete client information

  • Missing project address

These should be resolved to ensure a complete and professional proposal.


Suggestions

These do not block sending but may improve quality, such as:

  • Incomplete business information

  • Only one scope item


2.3 Fixing Issues Quickly

Each item listed in the preflight popover is clickable.

When you click an issue, the system takes you directly to the section that needs to be updated.

This prevents you from manually searching through the project to find the problem.


2.4 When the Quote Is Ready

If no blockers or warnings are present:

  • The popover confirms that your quote looks ready.

  • You can proceed to send immediately.


3. Quick Actions: PDF Export & Sharing Link

From the Finalize Quote popover, you can also:

  • Download a PDF of the proposal

  • Generate a no-login sharing link

These options are available even if you choose not to formally send the quote through the system.

This allows you to:

  • Send a PDF manually

  • Share a link via text or email

  • Review the final version before sending


4. Client Visibility Indicator

A visibility status is now displayed on the Project/Opportunity page.

This indicator shows whether the proposal is:

  • Visible to the client

  • Not yet shared

  • Archived / void

This removes uncertainty about whether your client can access the proposal.


When Is a Proposal Visible?

A proposal becomes visible only after you explicitly send or share it.

If you are preparing a proposal for a client who already has portal access:

  • They will not see the project until you send the quote.

There are no edge cases where a draft proposal becomes visible automatically.


5. Archived Proposal Behavior

Archiving a proposal changes how it behaves for both you and your client.


5.1 If the Contract Has NOT Been Signed

On the Contractor (GC) Side

  • The proposal is marked as archived/void.

  • It cannot be signed.

On the Client Side

  • The signing button is disabled.

  • A message indicates the proposal is archived and cannot be signed.


5.2 If the Contract HAS Been Signed

  • No behavior changes.

  • The signed contract remains valid and accessible.


6. System Safeguards

The system now ensures:

  • Clients cannot see unsent proposals.

  • Archived unsigned proposals cannot be signed.

  • Visibility only occurs after explicit sharing.

  • Finalize button status updates automatically as project details change.


Frequently Asked Questions (FAQs)


Why can’t I send my quote?

The Finalize Quote button will show a badge indicating unresolved issues.

Click Finalize Quote to open the preflight popover and review blockers.

Blockers must be resolved before sending.


What is the difference between a blocker and a warning?

  • Blocker: Prevents sending entirely.

  • Critical Warning: Strongly recommended to fix but may not block sending in future iterations.

  • Suggestion: Optional improvement.


Can my client see a quote before I send it?

No.

A quote is only visible after you explicitly send or share it.


If I archive a proposal, can my client still sign it?

No.

If the contract has not been signed, archiving disables signing and marks the proposal as void.


Does archiving affect already signed contracts?

No.

Signed contracts remain unchanged.


Where did the old Send button go?

The Send and Preview buttons have been moved to the top-right corner of the project screen.

A message in the previous location points you to the new position.


Can I download a PDF without sending the quote?

Yes.

Use the Quick Actions in the Send popover to download a PDF at any time.
