Creating and sending Change Orders

As a general contractor, managing project changes efficiently is crucial. Eano Pro’s Change Order feature is designed to simplify your modification process and enhance client communication. This feature also automatically creates a new milestone for the change order, ensuring it is recorded and trackable.

Creating a Scope Change Order

From the left-side Navigation Menu, click on the Projects section and open your signed/active project.

Navigate to the Scope or Payment Milestones tab

Click the blue button “Add Change Order” within the Scope/Payment Milestones Tab.

💡 Important:

The “Add Change Order” button only appears after the project has been requested for payment.

This means one of the following must have happened:

  • You marked a milestone as complete and sent an invoice to request payment, or

  • You manually marked a milestone as paid.

This design ensures that change orders are only created for active, billable projects, not opportunities or unsigned scopes.

Fill in the Change Order Details

  • Description: Clearly explain the proposed scope modifications.

  • Cost impact: Specify any amount due to scope changes (see below for examples).

  • Timeline impact: Note any schedule adjustments resulting from scope changes.

Types of Change Orders You Can Do:

1. Adding Additional Items

Scenario: Your client requests something that wasn't originally part of the project.

What to do:

➡️ Simply type the additional cost amount in the box.

💡 Example: Adding a new light fixture? Type 150.00 to charge $150.


2. Removing or Deducting Items

Scenario: Your client wants to remove or reduce something from the agreed scope.

What to do:

➡️ Type the amount with a negative sign (-) in front.

💡 Example: Removing a window? Type -200.00 to deduct $200.


3. Free Add-On

Scenario: Your client asks for a small favor or bonus, and you’re happy to include it for free.

What to do:

➡️ Just type 0 in the amount box.

💡 Example: Throwing in a small paint touch-up? Type 0.00.

Once you’ve filled in and finalized all details, simply click on the blue button “Create”

Client Notification and Scope Approval Process

  • Clients receive instant email and app notifications about new scope change orders

  • They can easily review and respond to scope modifications through the user-friendly Eano app or web interface

  • You'll be promptly notified of their decision on the proposed scope changes

How Clients See the Change Order for Approval:

Scope Change Order Statuses

  • Pending Approval: Awaiting client review of scope changes

  • Approved: Scope modifications accepted by the client

  • Declined: Scope changes rejected by the client

Financial Integration and Milestone Creation for Scope Changes

  • Approved scope change orders automatically update your total contracted amount

  • They seamlessly convert into project milestones, reflecting the updated project scope

Best Practices for Scope Change Order Management

  • Be prompt: Submit scope change orders as soon as the need for modification arises

  • Provide detail: Clearly explain the reasons and impacts of the scope changes

  • Keep records: Maintain a comprehensive history of all project scope modifications. Whether that Change Order is an additional, a deduction, or a free service.

Note: the milestones settings can be edited accordingly: completion, billing, estimation, automatic invoice
